This is an entry level, 12-month fixed-term, hourly position, paying $20.00 - $25.00 per hour. Ideal candidates sit in San Diego, Santa Clara, or Dallas for occasional team meetings.

Role Overview 

The HR Assistant will provide day-to-day administrative and operational support to Colovore's People team, helping us deliver a smooth and consistent experience throughout the employee lifecycle. 

Approximately 60% of this role will focus on HR operations, including onboarding, employee changes, documentation, and maintaining HR resources and trackers. The remaining 40% will support recruiting activities, including interview scheduling, candidate coordination, and application review. 

This is a 12-month fixed-term, hourly position designed to provide broad exposure to HR and Talent Acquisition while supporting a growing organization. The HR Assistant will also have opportunities to contribute to People team projects and process improvements throughout the year. 

Key Responsibilities 

HR Operations & Employee Support 

  • Support new hire onboarding by completing onboarding kickoff tasks, initiating background checks, updating onboarding and payroll trackers, and coordinating internal onboarding activities.
  • Assist with employee change and termination checklists, ensuring required administrative tasks and documentation are completed accurately and on time.
  • Monitor shared HR inboxes, organize incoming requests, and route or assign action items to the appropriate team member.
  • Maintain accurate and organized employee files and ensure required documentation is saved appropriately.
  • Maintain and review sheets to ensure documents and trackers remain current and organized.
  • Support ongoing maintenance of the company organization chart by incorporating new hires, departures, and employee changes.
  • Process and organize Ramp transaction receipts and supporting documentation.
  • Update HR trackers, task lists, and other People team resources as needed.
  • Help track completion of recurring new hire and employee requirements, including required trainings and documentation.
  • Provide administrative support for additional People team programs, initiatives, and special projects.

Recruiting Coordination 

  • Coordinate and schedule candidate interviews, ensuring a smooth and timely experience for candidates and interviewers.
  • Maintain accurate candidate information and interview activity within Greenhouse.
  • Support job and candidate administration throughout the recruiting process.
  • Review incoming applications and help identify candidates who meet basic role qualifications.
  • Partner with the People team to provide a positive, organized, and responsive candidate experience.

Required Experience 

  • Bachelor's degree or equivalent combination of education and relevant experience.
  • 0–2 years of professional, internship, administrative, recruiting, or HR-related experience.
  • Proficiency with common workplace tools such as Microsoft Office or Google Workspace.
  • Strong attention to detail and demonstrated ability to stay organized.
  • Ability to work effectively in a fast-paced and growing environment.

Experience with HR or recruiting systems such as an HRIS or applicant tracking system is a plus, but not required. We're looking for someone who is eager to learn.

  • The People team has greater capacity to focus on strategic HR, recruiting, and organizational initiatives.
  • You continue to grow your HR knowledge, take ownership of new responsibilities, and become a trusted and dependable member of the People team.
